Verify every reviewer and submission recipient
File encryption does not authorize a subcontractor, executive reviewer or procurement portal. Confirm identity, role, permitted detail, version and destination before each handoff.
A subcontractor requests the commercial volume from a forwarded email. The bid manager verifies the named contact through the approved directory, limits the package to necessary schedules and uses a separate channel for the secret.
Run the control in five steps
- 01Confirm recipient identity and current bid role.
- 02Select the exact approved version and minimum necessary content.
- 03Use the authorized collaboration or submission destination.
- 04Separate the protected file and secret channels.
- 05Record receipt, expiry, revocation and superseded access.
Preserve the decision trail
Keep recipient, role authority, package version, permitted scope, destination, file channel, secret channel, receipt and expiry.
Stop and investigate when
- A forwarded email is the only authorization evidence.
- The recipient gets unrelated pricing or customer data.
- The password travels with the protected attachment.
State what this does not prove
Does not replace provider permissions, guaranteed backup, password recovery or enterprise identity management. Solicitation rules, portal identity, contractual safeguards and authorized review remain separate.
Procurement bid security questions
Does a password prove recipient authorization?
No. Identity, role and destination must be verified separately.
Can the same review link remain active after reassignment?
